The Ridge Tahoe Complete Wedding Planning Guide

CONGRATULATIONS!
All of us at The Ridge Tahoe are excited to host your wedding! Thank you for choosing our facilities for your special day. Our Group Sales Staff will be helping to plan your wedding. The following guide is a planning check list for you and it is also a valuable communication tool for both our staff and you to work from. The guide is broken up into three parts. The first part is informational and will communicate Ridge polices and important FAQ information. The second part is a timeline sheet. The third part is a workbook that we ask you to complete and return to our office. The online planning form does not save your information. You can fill out each section partially or fully and send them but if you exit out of the program before submitting, your information will not be saved.  We suggest either filling out the data in steps and submitting, or take the time to fill out the entire planning form and submit it all at once.

Planning Process:
After we have received your signed contract and deposit we set up your group in our reservations system and send you out this planning form. If you have confirmed a package on your contract we will begin checking and confirming vendors for you and will send you an e-mail with their contact information.

After you have reviewed the planning form we recommend that you make a phone appointment with our coordinator to go over any questions you have and to answer any questions she has. This is a great way to get started on the details.

Planning an event is a process requiring thought and decision making. It you have a shorter window of time we will work with you quickly on your choices and decisions to finalize the details. If you have a longer planning period then the process tends to be evolutionary. Please know that whatever your timeline everything will all come together for your special day and we are here to help you.

Once we have received your planning form we will use the information to complete your banquet event order and estimate invoice. We will ask for your guaranteed guest count 30-days in advance when payment for your estimated invoice is due in full. The guaranteed guest count can not be reduced after this date but you can continue to add people up to 72 hours in advance.

Your signed final banquet event order is also due 30-days in advance and is a contract between you and The Ridge Tahoe agreeing on the details of your event. The banquet event order will list menu choices, set-up requirements, timelines, vendors etc. and it is sent out to all of our departments on our property so they know what is required for your event.

The following is an ideal timeline. Of course, during the wedding planning process things change, so don’t feel overwhelmed if you are working within a tighter timeframe than listed.

As Soon as You Secure Your Date with The Ridge

  • Contact The Ridge Coordinators to confirm vendors right away!
  • Ask for an estimate if you need an updated quote
  • Select Attendants
  • Register with your favorite stores’ bridal registry
  • Begin Shopping for your wedding dress and accessories

6-10 Months Before

  • Establish a guest list
  • Select and order Attendants attire
  • Plan Honeymoon
  • Register with your favorite store’s bridal registry
  • Begin Shopping for your wedding dress and accessories
  • Order save the date cards, and urge guests to make lodging reservations at The Ridge

3-6 Months Before

  • Finalize vendor orders and specifications with The Ridge
  • Schedule a trial run for hair and make up
  • Finalize guest list, mail invitations
  • Schedule rehearsal dinner with The Ridge
  • Order wedding rings
  • Finalize lodging accomodations at The Ridge

2-3 Months Before

  • Order favors
  • Finalize ceremony specifications with the Minister
  • Have final gown fitting
  • Order attendants and grooms gifts
  • Order platters from the Ridge to be delivered to room on the wedding day for “getting ready time”
  • Purchase guest book or order picture signing mat

30 Days Before

  • Give final guest count to The Ridge Coordinators
  • Finalize seating chart and order tent cards or master seating list
  • Send pre-payment and signed banquet order into The Ridge
  • Confirm menu and set up specifications with The Ridge
  • Pick up Wedding gown and make arrangments for shipping and steaming

7 Days Before

  • Have your last facial 3 days prior, and manicure 1 day prior
  • Pack everything you need for your stay at The Ridge
  • Travel to The Ridge and check in
  • Set up meeting with Ridge Coordinators to transfer reception items
  • Have rehearsal 1 or 2 days prior
  • Give gratuties to Coordinator so they can pass out on wedding day

Your Wedding Day
Appointment for hair and make up; Allow 3 hours to get ready, Pack an emergency kit for anything needed at ceremony and reception, and: Enjoy your special day!

 

Packages »

The first step in wedding planning is booking your vendors. It’s important to secure them as soon as possible in order to assure their availability. The first step is to determine which package fits you best, or which services you need, and to contact The Ridge Coordinator to start the booking!

The Intimate Tahoe Collection -- $1,195 plus tax
Designed for parties of 20 - 40 people

For the bride and groom who are planning an intimate, romantic wedding with family and close friends this package offers just what you need.

    • Minister (non-denominational)
    • Flowers for the bride and groom – 1/2 dozen rose hand-tie bouquet with garden flowers, foliage and ribbon, and a double rose boutonniere for the groom
    • One hour of photography including 18 photos in a storybook album
    • Wedding cake with your choice of icing, filling, and flavor

In addition to the Intimate Tahoe Collection I also need:

Personal Flowers

Our wedding packages include different amounts of personal & reception flowers.  You are welcome to order colors and combinations to suit your needs including additional flowers to your package (additional fees may apply).  Our packages use a standard rose as the basis for pricing, however you do not have to have roses in your order.  Other blooms differ in price and by season.

We are very fortunate to have Thran’s Flowers as our florist.  They are the premier florist in Lake Tahoe and provide extraordinary, professional work.  For ideas and examples of their work please visit www.thransflowers.com.  You may place your order through The Ridge or by making an appointment at Thran’s shop.  Please note Thran’s creates orders by advance appointment only! When making your appointment at Thran’s please let them know your wedding is at The Ridge.

Videography is a great way to ensure you don’t miss a minute of your ceremony or reception!  It is a wonderful keepsake and a terrific tool to include friends or family who cannot make it to your event.  If your wedding package includes videography you will receive the DVD Simple Ceremony.  You may add or upgrade your videography using these terrific packages below from our preferred vendor:

SIMPLE RECEPTION PACKAGE - $1600
Basic coverage of your reception with the main events and classic highlights of your reception include these options:

DELUXE RECEPTION PACKAGE - $2230
The Deluxe Reception Package includes all options listed in the

  • Photo montage of childhood pictures of the bride and groom
    growing up and some recent pictures together (up to 20 pic
    tures). This will be edited into the final video but could also
    be played at the reception.
  • Guest table shots of all guests saluting the bride and groom
    on camera
  • Congratulatory messages from the parents of the bride
    and groom
  • Congratulatory messages from the entire wedding party either
    individually or in groups
  • Greetings from other special friends and/or relatives that the
    bride and groom may appoint ahead of time
  • Music montage of the reception highlights with special effects
  • Customer supplied or requested music
  • Last Dance and Departure of the bride and groom
  • Up to 4 ½ hours of reception coverage

Photography »

Our photographers offer a blending of styles, including formal portraits of the Bride, Groom, and Wedding Party, as well as some photojournalistic shots (action photos), and glamour portraits of the bride.

Which shots are included are dependant on how many hours we hire the photographer for your wedding.

  • One Hour Photography: begins at the start of the ceremony, go throughout the ceremony (which is usually around twenty minutes), and then includes about a half hour of formal family and bridal party portraits.

  • Three Hours of Photography: begins at the start of the ceremony, and include reception shots, cake cutting, and the Bride and Groom’s first dance.

  • Five Hours of Photography: includes your entire event, with Father/ Daughter and Mother/Son and miscellaneous dancing, as well as the bouquet and garter toss, and Bride and Groom send off.

Additional hours can be added onto the above packages if pre-ceremony photos are required.

A certain number of prints are included in your package. If you would like to purchase additional prints, or CD with all images, you can purchase those directly from the photographer once you see your proofs.

Hair and Make-up »

Trial runs are priced the same as Wedding Day services and are billable upon confirmation of the appointment through The Ridge.

Once confirmed there is a cancellation fee of 50% outside of 30 days (inside
of 30 days the fees are non-refundable). This will be billed with the
rest of the wedding balance 30 days prior to the wedding.

The gratuity for is 15% to 20% of services, and is customarily given as cash
on the day of the services.

Music and Entertainment »

Live music is ideal for the Grand View Garden and an outdoor ceremony setting. For indoor ceremonies a pianist playing our grand piano is the perfect choice.

A DJ provides Master of Ceremonies Service and is essential in directing the flow of an event and reception. They greatly contribute to the success of an event and the guest’s experience. We are happy to confirm the services of one of the local professional DJ’s we work with regularly and whose services we trust from the many events we have hired them for in the past. These DJ’s are guaranteed to have large libraries of music, top of the line equipment and are skilled Emcee’s. They are also guaranteed to be on time, courteous and professional.

You may hire your own music or entertainment. Please note The Ridge Tahoe staff does not provide Emcee services for events and is not responsible for making announcements.

The Enchanted Wedding Collection, The Celebration Wedding Collection and The Signature Wedding Collection all include one hour of live music and four hour of DJ services. You can choose to have no live music and five hours of DJ services if you prefer.

Resort Reservations (Lodging, Spa) »

Your Group Room Contract listed the group rates available to you and your guests. Reservations can be made by phone or online.

Phone: Individuals may call our reservations department at 1-800-334-1600, Monday through Friday from 8am-5pm and refer to the group name listed above. The first night is due as a deposit at the time of reservation and the balance is to be paid at check in.  

Online: Reservations can be made online on our website at www.ridgetahoeresort.com. On the opening page below Book Rental Reservations Online enter the promo code as listed on the Group Room Contract and follow the prompts from there to confirm a reservation.

Ceremony Set-up »

The fee for the use of the Grand View Garden is the price of the chair rental as listed in your contract. For offsite ceremony locations the coordinator will communicate if seating is included or must be ordered.  Ceremony chairs must be provided for all guaranteed attendees.

Floor Plan and Linens

The Ridge will provide you with a floor plan for your reception in advance of the event to assist you with assigning tables or seats.  The following information will help us to create a custom floor plan for your event:

Tables:
Both the Hungry Bear Restaurant and the Eagles Nest are unique Tahoe event facilities.  Using your number of guests, your chair and table choices we will create and provide you with a floor plan for your event.  Because of the unique spacing and size of the spaces a combination of round and rectangle tables may be used to seat your guests comfortably.  Please let us know your preferences for guest seating:

I prefer rectangle tables (approximately 8-12 people per table)
I prefer round tables (approximately 6-10 people per table)

Linen:
Standard linen is included in your facility fee for The Ridge at the Hungry Bear and the Eagles Nest.  Our standard linen is white or burgundy tablecloths with white napkins.  We are happy to help you create a custom linen scenario with specialty linen to enhance your reception décor and bring your signature color into the room.

Décor

Centerpieces:
The Ridge can provide centerpieces, order them from our florist or you may provide them.  Some wedding packages include centerpieces to be purchased from The Ridge or Thran’s Flowers (additional fees may apply depending on your choice of size, bloom and number of pieces needed).  Please note you should inform The Ridge of all décor items you are providing so we may properly plan and staff for event set up.

Our florist can create beautiful floral centerpieces to match your colors and décor starting at $45.00 per arrangement.  Pew buckets are multi-functional, providing décor at the ceremony and reception when used as centerpieces.  Please contact Group Sales with your ideas and requests or the florist for an appointment to put together your floral order in their shop.

Cocktail Hour:
Appetizers are an essential part of the cocktail hour and give a welcoming feeling to the reception.  They provide something for your guests to snack on while you and your groom are taking pictures and help your bar tab last longer! You may order placed appetizers (such as Baked Brie & Antipasto Platter), passed appetizers (such as Bruschetta & Mini Crab Cakes) which will be served to your guests by our staff, appetizer stations (such as the Asian Station or Crepe Station) or a combination to suit your needs.

The Ridge offers a full bar of assorted beer, wine and spirits for your guests. You may choose what types of beverages and/or set a monetary limit for alcoholic beverages you would like to host. Please contact Group Sales for current banquet wine selections.

Planning Services »

COORDINATION SERVICES

Rehearsal and Day of Coordination Services are available for you and provided by the coordination staff. These services are designed to relieve you and your family of running you event and allow you to enjoy your wedding.

Rehearsal Coordination
Rehearsal Coordination is scheduled for an hour and the coordinator will familiarize you and your wedding party with the ceremony location, complete a practice run for the ceremony and review any last minute details for your wedding day.

The Ridge Tahoe providing Rehearsal Coordination Services ($150-$200)

Requested rehearsal date and time:
There is no charge for confirming rehearsal space at The Ridge Tahoe. For offsite ceremony locations a fee will apply. For rehearsal at The Ridge the space is held on a tentative basis and may be rescheduled or moved if another event confirms the time and space.

Day of Coordination
For Day of Coordination the coordinator is dedicated to your event and their services begin approximately two hours prior to your ceremony (or more if you have selected an offsite ceremony location) and end at the beginning of your meal. The coordinator will oversee all the details planned and unplanned for your wedding day. They will direct vendors, wedding party and guests, check in all vendors, distribute vendor gratuities, distribute personal flowers, coordinate the procession down the aisle and the wedding party announcement into the reception.

You may choose not to have Day of Coordination services and the coordination staff will confirm that the set-up outlined in your banquet event order is complete and check in any vendors that The Ridge has confirmed for you. They will be available to you for any needs you have related to the facility but may not be present at your event as they may have other duties or appointments.
